Absolute Academy Automations Privacy Policy
Effective 28 October 2026. This policy explains how Absolute Academy Automations handles Google Ads API data and parent or guardian enquiries. The integration is operated by Absolute Academy in Melbourne, Australia, for authorised staff managing the business’s advertising and enquiries.
Who operates this integration
Absolute Academy Automations is an internal tool operated by Absolute Academy. It connects an authorised Google Ads account with internal reporting and enquiry workflows. It is not a public advertising service and is not offered to other tutoring businesses. This notice describes the information used by this integration; other information collected when you use Absolute Academy’s tutoring services may be covered by separate notices. For privacy questions or requests, contact admin@absolute-academy.com.
Google Ads information
After an authorised administrator grants access through Google OAuth, the integration accesses Google Ads API data allowed by that authorisation and the account’s permissions. Depending on the enabled workflow, this can include the Ads customer or account ID and name; campaign, ad group, ad, and conversion action IDs and names; their status and relevant settings; and reporting metrics such as dates, impressions, clicks, costs, conversions, and conversion values. The integration does not access Gmail, Google Drive, Contacts, or other Google services. OAuth tokens are managed in the n8n credential store. We do not ask for or store the Google account password.
How the information is used
We use Google Ads data to provide the integration’s internal reporting and lead-attribution functions: review campaign performance, connect advertising sources with enquiry outcomes where available, and measure leads for Absolute Academy’s own authorised Ads account. Offline conversion reporting is not active unless and until it is configured and enabled. When enabled, an upload may include a conversion action, event time, and optional value, plus either an available ad click identifier such as GCLID, GBRAID, or WBRAID, or a normalized and SHA-256-hashed parent or guardian email address or phone number, depending on the matching method configured. We send only the fields needed for measurement; student names and free-text notes are not included. Google Ads data is not sold, used to build unrelated consumer profiles, used for credit or lending decisions, or used to train general-purpose AI or machine-learning models.
Enquiry and CRM information
A parent or guardian may provide a name, email address, phone number, requested subject or tutoring service, campus or preferred location, student year level, and an optional enquiry message through the Absolute Academy website. When available and configured, the workflow may also receive the enquiry time, referring page, campaign tags, or an advertising click identifier to attribute the enquiry. The website form is processed by n8n at n8n.absolute-academy.online and sent to the Monday.com Sales Tracker 2027 board for follow-up. Student names and free-text learning or school notes are not used as Google Ads matching data.
Service providers and disclosures
Information is processed by the providers needed for this workflow: Google Ads and Google Cloud handle OAuth authorisation, Ads API requests, and any enabled conversion reporting; n8n at n8n.absolute-academy.online runs the workflow; Framer hosts the website and enquiry form; and Monday.com stores enquiries in the internal Sales Tracker 2027 board. Where configured, n8n may pass relevant lead source or outcome fields into the CRM and send only the selected conversion details needed for Google Ads measurement. These providers may process information under their own service terms and in the regions where their systems operate, including outside Australia. We do not sell Google Ads data or disclose it to competitors, data brokers, or unrelated parties.
Storage, security, and retention
We use HTTPS for website and service connections, authenticated accounts, and access controls intended to limit the workflow and its records to authorised administrators and staff who need them. Google passwords are not stored by this integration; OAuth tokens are managed as n8n credentials and can be revoked. Google Ads reports and workflow execution records are kept only as long as needed for reporting, attribution, troubleshooting, security, and legitimate business recordkeeping. n8n execution data is subject to the instance’s configured retention and cleanup settings. Enquiry records in Monday are kept while needed to respond to and manage the enquiry and any resulting business records. When information is no longer needed, we delete or de-identify it unless a legal obligation requires retention. Removing Google access stops future API requests but does not automatically delete records already stored in n8n or Monday.
Student information
Parents or guardians should submit enquiries on behalf of students. The form may contain limited educational context, such as year level, subject, or campus, supplied by the parent or guardian. The integration is not intended for students to create Google accounts or connect their own accounts, and it is not intended to collect sensitive student information. Please do not include health, financial, or other sensitive information in the optional message. Student names and free-text school or learning notes are not uploaded to Google Ads for conversion matching.
Access, correction, deletion, and choices
You may request access to, correction of, or deletion of information associated with an enquiry by emailing admin@absolute-academy.com. We may ask for enough information to confirm the request relates to you. You can revoke the Google authorisation from your Google Account’s third-party connections or ask an administrator to remove the n8n credential. Revocation stops future Google Ads API access; ask us separately if you also want existing workflow or CRM records deleted. We will handle requests subject to applicable legal recordkeeping requirements.
Google API use and policy updates
Our use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements. We do not use Google API data for sale, data brokerage, credit or lending decisions, personalised advertising based on a person’s Google account data, or general-purpose AI or machine-learning training. If our data practices materially change, we will update this policy before using the data for a new purpose and request any consent required. Effective date: 28 October 2026.
